Now you are at the time to start planning your move-well in advance of move day.

Floor Plan Preparation You will need a floor plan of your new office that communicates the proper number and label assignments for each individual area.

Office Layout Preparation Office layout diagrams will need to be created and posted on each office door. These diagrams must be done to scale to avoid confusion during the move. Workstations should be clearly identified by posting the number on the outside of each station, where it can be seen from a distance, especially elevator lobby and/or main entrance. 

Office Equipment Preparation There are three critical things to consider when relocating office equipment:
• Who will prepare the equipment and how?
• Who will move the equipment?
• What is the priority for the equipment to be moved?  

Be sure to check with your copier vendor as to the proper procedure for preparing your copier for moving. Your maintenance contract may require that the vendor relocate the equipment. 

Desktop Computers: All computer equipment must be labeled and disconnected prior to the move. Please take the necessary precautions to back up all computer files before moving. 

Handling Cables & Peripherals: For seamless computer relocation, there should be a plan in place that addresses packing and managing computer cables and peripherals. 

File Server & Computer Rooms: Your equipment vendor requirements may be such that considering one use of a Priority/Exclusive van for the transportation of this sensitive equipment would be beneficial. 

Moving Day At least one company representative should be on-site at both locations on moving day. Ideally, rearranging ought to begin only after all items have been delivered to avoid cost overruns and delays.

Although the move is more detailed than this outline, you get the picture.  A well-developed team working the same goal with open transparent communication is the success to the project.
